The Hospital That Never Loses a Night of a Stay: Inpatient Care in FaraERP Service Management

It’s two in the morning. A patient goes from the emergency room to bed 12, is moved to bed 4 in the morning and will be discharged the day after tomorrow. On paper those three moves are three separate forms; on the bill, one of them always goes missing. Every night of a stay that isn’t charged is a cost the hospital paid and never recovers.
FaraERP’s service management — the same system that runs reception, queues, the cash desk and accounting for outpatient clinics — now has an inpatient section: every admission has its own financial file, and every night, bed and service reaches that same account.
At a glance
- Inpatient admission with its own code and the option of taking a deposit on the spot.
- Defining beds and transferring patients between them.
- Automatic counting of nights stayed in each bed.
- Recording services and daily notes during the stay.
- Discharge and full settlement through the same cash desk and the same accounting.
An admission with its own account
Each inpatient admission is its own session with an inpatient code, and the patient goes straight to a free bed. You can take a deposit right then. An outpatient visit never gets mixed into an inpatient account, and if a patient is already admitted, the system shows it.
Every night, on the right bed
- Beds: each branch’s beds are defined and can be deactivated when needed.
- Transfers: moving a patient between beds is recorded, and the stay charge for each bed is calculated separately.
- Nights of stay: charges are based on calendar nights per bed — at least one night per admission — and are recalculated on transfer, before payment and at discharge.
- Services during the stay: visits, medication or any service given during the stay are added to the same inpatient account.
- Daily notes: each day’s notes stay with the same file.
Discharge means settlement, not a forgotten form
Revenue from an open stay is not final until discharge, so a discount on the whole account is still possible. At discharge, all nights and services are totalled at once and settled through the same cash desk the outpatient clinics use. The system won’t let one stay be discharged twice or cancelled from two places at once, and the receipt is the familiar cash-desk receipt.
Outpatient and inpatient on one system
The inpatient section is built on the same foundation that the hospital’s outpatient and paraclinical departments already use: patient reception and records, the queue and waiting-room display, an electronic record with configurable fields, and follow-up after treatment. It is a separate module, switched on for each installation whenever the hospital is ready.
The shared backbone: from booking to the books
Underneath these specialist features runs the same engine that makes FaraERP’s service management dependable for any service business:
- Booking on your own rules: a separate policy per branch, service and doctor — slot length, capacity, daily caps and an SMS booking confirmation.
- Queue and waiting-room display: one “call” sends the patient to the room, and the waiting-room TV calls them out.
- Extra work without paperwork: a service the doctor adds appears instantly on the reception screen with a payment button.
- Consumables that add up: each service has default consumables and an “included” quantity; anything beyond it is added to the bill automatically at the excess rate.
- Cash desk and receipts: cash, card terminal and bank transfer, with refunds and voids; printed receipts at 80 or 58 mm or A5, with your name and logo.
- Receipts matched to the bank: card-transfer receipts are matched against the bank statement; receipts with no deposit and deposits with no receipt are flagged separately.
- Patients who come back: admissions can enrol the patient in the CRM automatically, so targeted campaigns — say, everyone who hasn’t been in for a while — can invite them back.
- A manager’s dashboard: unique, new and returning patients, average revenue per patient, and each doctor’s output.
- The rest of FaraERP on the same database: accounting, inventory, purchasing, HR and payroll — with no re-entry.
To be honest: insurance, e-prescriptions, laboratory and imaging are not part of FaraERP’s service management today, and we don’t claim them. What is there — admission, beds, transfers, nights of stay, discharge and settlement — is connected to the cash desk and accounting.
